WhatsApp Business app vs API: when it's time to switch

The free app is the right tool for a lot of businesses, and in 2026 it gained AI replies and paid tiers. It was still built around one phone, and a growing team finds the edges quickly.

The short version

  • The free Business app runs on one phone plus up to four linked devices. Meta's paid tiers raise that to ten, which is still a cap on who can reply.
  • App broadcast lists hold 256 contacts and reach only people who saved your number. The Platform sends approved templates to anyone who opted in.
  • On the Platform a new business can message 250 different people in a rolling 24 hours, shared across all its numbers. Verification raises it to 2,000.
  • Meta's coexistence option runs one number on both the app and the Platform, and can bring across six months of chats.

It usually starts the week a second salesperson begins replying to customers from their own phone, because the shop phone is with the owner at a supplier’s in Bhiwandi. Two months later nobody can say who promised which customer what, and the owner is forwarding screenshots at 11 pm.

That’s the moment people start searching for “WhatsApp Business API”. Some of them should switch. Some shouldn’t, and the app got better this year.

What the app does well

The WhatsApp Business app is free, takes ten minutes to set up, and every customer already knows how it works. A business profile, catalogue, quick replies, labels and away messages cover a lot for a shop where one or two people handle every chat.

It’s also no longer bare. Since 14 May 2026, Meta’s Business AI in the app can answer common questions for Indian small businesses, recommend products and book appointments, and the owner can take over any chat. And Meta sells paid tiers for the app (Meta Verified for Business, and the newer Meta One, which Meta’s own help page says is still in limited testing) that add a verified badge, more linked devices and chat assignment.

If one or two people reply and customers save your number, stay on the app.

Where the app runs out

People. The free app runs on one phone plus up to four linked devices, and linked devices log out if the phone isn’t used for 14 days. Paid tiers raise the cap to ten devices. That helps a team of six; it doesn’t help a team of fifteen.

Reach. A broadcast list holds 256 contacts, and a broadcast reaches only people who have saved your number. A customer who bought once and never saved you won’t see it.

On top of that, WhatsApp’s help centre describes a monthly limit of “up to 35 free broadcast messages per month” rolling out “in some countries”. It doesn’t say whether India is one of them, or whether it applies to the Business app as well as personal WhatsApp. If you’re seeing it, that’s why. If you aren’t, it may still come.

The app also offers paid “business broadcasts” that reach contacts who haven’t saved your number. Meta reviews each one and charges per delivered message, and says the feature is available in limited countries.

Automation and connections. The app has greeting messages, away messages and quick replies. It can’t wait for a reply and branch on it, and it doesn’t connect to your store or booking system. Anything that happens outside WhatsApp gets copied in by hand.

Signs you’ve outgrown it

  • More people need to reply than the app allows, so chats get forwarded to personal phones.
  • You can’t tell who replied to whom, or whether an enquiry was answered at all.
  • Customers who never saved your number need to hear from you.
  • Someone copies order details between WhatsApp and another system every day.
  • The business depends on the one phone the app lives on.

Our rule of thumb: a business that ticks two of these is usually losing enquiries by staying on the app. It’s a judgement, not a Meta rule. One of them might be enough for you, or four might be tolerable.

What the Platform changes

The Platform comes with rules the app doesn’t have:

  • Templates. To message someone who hasn’t written to you in the last 24 hours, you need a template Meta has approved. Templates are marketing, utility or authentication, and priced by category: in India, ₹0.8631 for marketing and ₹0.115 for utility, before GST.
  • Messaging limits. A new business can reach 250 different people outside the 24-hour window in a rolling 24 hours, and the limit is shared by every number in your business portfolio. Business verification raises it to 2,000; after that it climbs on its own. Our messaging limits guide has the detail.
  • The blue badge. An Official Business Account shows a blue verified badge. It needs business verification, at least 30 days on the Platform, two-step verification and an approved display name. App numbers can’t get it.

Since 1 October 2026 replies aren’t free beyond 1,000 a month per number either. For a team sending a few thousand replies a month that adds a few hundred rupees, and marketing templates are usually the bigger line; the cost guide works through three examples.

You may not have to give up the app

Meta’s coexistence option runs one number on both the Business app and the Platform. The team works from a shared inbox and the owner keeps the app on their phone. Meta says the last six months of chats and your contacts can be synced when you connect.

Some things change. Broadcast lists in the app become read-only, disappearing messages and view-once are switched off in one-to-one chats, group chats aren’t synced, and linked devices have to be connected again. Not every provider supports coexistence onboarding, so ask before you sign up.

If you’re unsure, count how many people replied to customers from a phone other than the business phone last week. If the answer is more than one, start business verification now. It’s the one step you can’t hurry once you need it.

Common questions

What is the difference between the WhatsApp Business app and the WhatsApp Business API?

The free Business app runs on one phone plus up to four linked devices, with broadcast lists of 256 that reach only contacts who saved your number. On the Business Platform (API), a whole team replies through a shared inbox from your provider and sends approved templates to anyone who opted in.

How many people can use one WhatsApp Business app account?

The free app runs on one phone plus up to four linked devices, and linked devices log out if the phone isn't used for 14 days. Meta's paid tiers raise the cap to ten devices. That helps a team of six; it doesn't help a team of fifteen.

When should a business switch from the WhatsApp Business app to the API?

Signs you've outgrown the app: more people need to reply than it allows, you can't tell who replied to whom, customers who never saved your number need to hear from you, or order details are copied by hand every day. As a rule of thumb, not a Meta rule, two of these usually mean you're losing enquiries.

Can I keep the WhatsApp Business app after moving to the API?

Possibly. Meta's coexistence option runs one number on both the Business app and the Platform, and Meta says the last six months of chats and your contacts can be synced. Broadcast lists in the app become read-only, and not every provider supports coexistence onboarding, so ask before you sign up.
