Answer every property enquiry before it goes cold
The first agent to reply with something useful usually gets the site visit. A team of five can reply in seconds, send each lead to the right person, and keep the thread when an agent is away.
The short version
- Speed decides most property leads. A 2011 study of online sales leads found firms that replied within an hour were nearly seven times as likely to qualify the lead as those that waited longer.
- Reply instantly with buttons, not paragraphs. One tap tells you whether this is a site visit, a price question or a call request.
- Buyers who come from a click-to-WhatsApp ad open a free window of up to 7 days once you reply. Confirmations and reminders sent inside it cost nothing.
- Route by project or locality, not by whoever sees the phone first. The lead belongs to the business, not the agent's handset.
A buyer looking at flats in Baner doesn’t message one builder. They message five, from five listings, in the same ten minutes. Whoever answers first with the price, a floor plan or a visit slot usually gets the site visit. The rest get “thanks, already found one”.
This playbook is for real estate teams of two to twenty people who already get enquiries on WhatsApp and lose too many to slow replies and messy handovers.
Why property leads go cold
Harvard Business Review looked at how quickly companies responded to online leads. Firms that replied within an hour were nearly seven times as likely to qualify the lead as firms that waited longer, and far more likely than those that waited a day. The study is from 2011 and isn’t about WhatsApp. We use it as a direction, not a number.
In most teams the delay comes from the lead landing on one person’s phone while that person is at a site, in a meeting or asleep. When it doesn’t, it’s usually because two agents each assume the other one has it.
Step 1: Give every listing a link that says where it came from
Every listing, ad and hoarding should open a WhatsApp chat with a pre-filled first message naming the project, such as “Hi, I’m interested in Baner Hills, 2BHK”. The buyer only taps send, and the first message tells you the project before anyone reads it.
If you run click-to-WhatsApp ads, the ad itself tells you the source, and it does something more useful: it opens a free window. When a buyer messages from the ad on their phone and you reply inside the 24-hour service window, every message for up to 7 days after your reply is free (Meta changelog, 28 September 2026). The visit confirmation, the location pin and the day-before reminder all fit inside it.
Step 2: Reply in seconds, with buttons
The first reply has two jobs: acknowledge the buyer now, and find out what they want with one tap. Because the buyer wrote first, you’re inside the 24-hour customer service window and don’t need a template.
- Sneha Kulkarni: Hi, I'm interested in Baner Hills, 2BHK 7:42 pm
- Baner Hills Realty: Hi Sneha, thanks for asking about Baner Hills. What would help most right now? 7:42 pm
- Book a site visit
- Price & floor plan
- Call me back
- Sneha Kulkarni: Book a site visit 7:43 pm
- Baner Hills Realty: Which day would suit you for the visit? 7:43 pm
- Saturday
- Sunday
- A weekday
- Tagged: Baner Hills · site visit · assigned to West Pune team
Keep it to three buttons, each leading somewhere real: a visit booking, a price sheet (send the PDF, not a link to a slow website), or a person. Some buyers would rather talk. Let them call your WhatsApp number, and have a person answer.
Step 3: Send the lead to the right agent
Decide the routing rule before the Saturday rush, not during it.
| Rule | Works well when | Watch out for |
|---|---|---|
| By project | Each agent sells one or two projects | One hot project, one drowning agent |
| By locality | Agents cover an area and know it well | Buyers open to several areas |
| Round robin | Agents are interchangeable | Your best closer gets the same share as last month’s joiner |
Whatever the rule, the lead goes to a team inbox, not a personal phone. When the agent is on leave, anyone on the team can read the whole thread and carry on.
Calling a buyer back on WhatsApp is different: the business needs the buyer’s permission before it calls, so ask in the chat first.
Step 4: Confirm and remind before the visit
No-shows cost a site team half a day. Two messages prevent many of them:
- A confirmation right after booking, with the date, time, a map pin and the name of the person meeting them.
- A reminder the day before, with two buttons: Confirm and Reschedule.
Outside the ad window, the reminder usually goes more than 24 hours after the buyer’s last message, so it must be an approved template.
Replies cost money too since 1 October: each number gets 1,000 free a month, then ₹0.115 each. A team handling 200 enquiries a week will pass that, so answer in one message where you’d have sent three.
Step 5: Follow up after the visit, once
Within a day of the visit, send one message: thank them, answer the question they asked on site, and offer the next step (a second visit, a price discussion, the booking amount). Then stop. A buyer who hears from you every day starts blocking you, and blocks and reports count against your number.
Tag buyers who visited but didn’t book. When a new tower or a price revision launches, they’re the first people to tell, provided they agreed to hear from you.
What to check every Monday
- Time from a new enquiry to an agent’s first message. The automated reply is instant; this is the number that matters.
- Enquiries with no owner at the end of the day. If this isn’t zero, fix it before anything else.
- Visits booked per 100 enquiries, by source. This tells you which listings and ads are worth paying for.
A checklist to start this week
- A pre-filled WhatsApp link on every listing, with a source code
- A first reply with three buttons
- A written routing rule
- All enquiries in one team inbox, not on personal phones
- An approved utility visit-reminder template with Confirm and Reschedule buttons
- Ad leads replied to inside the 24-hour window, so the free window opens
- One follow-up after the visit, then stop
Common questions
How fast should a real estate team reply to a WhatsApp enquiry?
In seconds, with buttons. A 2011 Harvard Business Review study of online sales leads found firms that replied within an hour were nearly seven times as likely to qualify the lead as those that waited longer. The study isn't about WhatsApp, so treat it as a direction, not a number.
What should the first WhatsApp reply to a property enquiry say?
Acknowledge the buyer and find out what they want with one tap. Keep it to three buttons, each leading somewhere real: a site visit booking, a price sheet sent as a PDF, or a person. Because the buyer wrote first, you're inside the 24-hour customer service window and don't need a template.
How should property leads be routed between agents?
Decide the rule before the rush: by project, by locality or round robin. By project works when each agent sells one or two projects, and by locality when agents cover an area and know it well. Whatever the rule, the lead goes to a team inbox, not a personal phone.
Are WhatsApp follow-ups free for leads from click-to-WhatsApp ads?
When a buyer messages from a click-to-WhatsApp ad on their phone and you reply inside the 24-hour service window, every message for up to 7 days after your reply is free, per Meta's changelog of 28 September 2026. The visit confirmation, the location pin and the day-before reminder all fit inside it.
