WhatsApp for car dealers and service centres: test drives, service reminders and “is my car ready?”

A test-drive enquiry from a Meta ad waits in a sales executive's personal WhatsApp while he is out on a delivery. By evening the customer has booked with the dealer across the road. Here is the showroom that answers in seconds, from one inbox.

The short version

  • Ad enquiries that land on one shared business number get an instant reply with test-drive slots as buttons and are handed to the sales team, with the ad that started the chat recorded on the contact.
  • Service-due reminders are utility messages sent by a journey on the due date, from a contact list imported from your DMS or spreadsheet, with a one-tap booking.
  • 'Is my car ready?' is answered by the status messages you send first: received, estimate to approve, ready for pickup with the invoice attached.
  • On Meta's India rates, a dealership sending 2,000 service and status messages a month pays about ₹230 in message charges before GST.

Two phones sit on the reception desk of a car showroom in Pune. One is the “sales number” printed on every hoarding. The other is the “service number” on every job card. Between them they take enquiries from Meta ads, test-drive requests, “is my car ready?” calls, insurance renewals and the occasional complaint, and they are answered by whoever is nearest when they ring.

At 3 pm an ad enquiry arrives: “Interested in Creta, EMI options?” It goes to the sales executive whose number the ad was set to, and he is out on a delivery until 6. At 3:40 the customer messages the dealer across the road. That dealer replies in four minutes.

Dealerships do not lose customers on price. They lose them in the forty minutes between the question and the answer. This playbook closes that gap, then uses the same inbox to stop the service phone ringing.

Step 1: one sales number, one service number, one inbox

Put both numbers on the WhatsApp Business Platform, Meta’s service for businesses, through a provider that runs several numbers in one shared inbox. The sales team sees the sales number’s chats; the service advisors see the service number’s. Each chat is assigned to one person, so a test-drive request is never answered twice and never answered by nobody.

Point every Meta ad at the sales number, not at an executive’s phone. A Click-to-WhatsApp ad opens a chat directly, Meta records which ad started it, and the conversation it opens is a free entry point for a window Meta’s own page says may run up to 7 days. The executive on delivery does not need to be the one who answers.

Step 2: the ad enquiry, answered in seconds

The first reply is the one that wins the customer, and it does not need a person:

Hi Karan, thanks for asking about the Creta. What would help most right now? [Book a test drive] [EMI options] [Call me]

  • Book a test drive offers slots as buttons: “This weekend we have [Sat 11 am] [Sat 4 pm] [Sun 11 am]”. The tap tags the contact with the model and the slot and hands the chat to the sales team with everything attached.
  • EMI options sends the PDF you already have and then hands over.
  • Call me hands the chat to the team with a tag that says exactly that.

By the time the executive is back from the delivery, the customer has a confirmed slot and a name, and the chat shows which ad brought them in. On Sunday the sales manager can see which campaign produced test drives, not just clicks.

An AI agent can take this first turn for questions outside the buttons, “does it come in the blue?”, and it hands over the moment the customer asks for a price or a person.

Step 3: service-due reminders that run themselves

This is where a dealership’s steadiest revenue leaks to the local garage, because the reminder is a spreadsheet someone forgets. Replace it with a journey:

  1. Export due dates from the dealer management system, or the spreadsheet, and import them into the contacts. Each contact carries the vehicle, the registration and the due date as fields.
  2. A journey sends, on the due date:

Hi Karan, your Creta is due for its 20,000 km service. Pick a day and we will book the slot. [This week] [Next week] [Call me]

  1. This week or Next week hands the chat to the service advisor desk, who offers two slots and a home pickup as buttons. Call me tags the contact and hands over.
  2. No answer gets one more message a week later. Then it stops.

It is a utility message, about a service the customer’s own vehicle is due for, approved once as a template and charged at ₹0.1150 each on Meta’s India rate card.

Step 4: “is my car ready?” answered before it is asked

Service customers call because nothing tells them what is happening. Send the status instead, from the same journey the booking started:

  • Received. “Your Creta is in. Estimated completion 5 pm today.”
  • Estimate to approve. “Brake pads need replacing: ₹4,200. [Approve] [Call me first]”. The approval is recorded in the chat, with a time.
  • Ready for pickup. “Your Creta is ready. Invoice attached. Pickup till 7 pm, or tap for home delivery. [Pickup today] [Deliver to me]”

Three utility messages per job, and the service phone goes quiet. The advisor’s afternoon goes back to the floor.

Step 5: calls, on WhatsApp, in the same inbox

Some customers will still want to talk, and that is fine. Where WhatsApp Calling is enabled on the business number, a customer calls from their WhatsApp app and the call lands in the same inbox as their chat, so the advisor is looking at the vehicle and the estimate while talking. Meta applies eligibility rules to the number; our calling guide walks through them.

Step 6: renewals and offers, kept apart

A reminder that the customer’s own insurance renews next month is a utility message. “₹15,000 off the new model this festive season” is a marketing message: it needs opt-in, an approved template and the marketing rate. Ask for the opt-in in the thank-you after a service, record it on the contact, and send offers to a segment such as “bought 3 to 5 years ago, opted in”, which is where the exchange enquiries are. Keep the two message types in separate templates so Meta approves both.

What it costs

A mid-size dealership with a service centre, in a month:

MessageCategoryVolumeMeta cost
Customers’ questions and repliesService~1,200₹0 for the first 1,000 per number
Service reminders and job statusUtility~2,000~₹230
Test-drive confirmationsUtility~150~₹17
Festive offer to opted-in ownersMarketing~300~₹259

About ₹500 a month in Meta charges before GST, plus the provider’s plan. One extra service booking a week covers it.

How this runs in Conecxt

Every step above is a live feature: several WhatsApp numbers in one shared inbox with team-scoped views; Click-to-WhatsApp conversations that record the ad they came from; reply buttons, approved templates and tags; contacts imported from a spreadsheet with custom fields; journeys that send reminders and status updates on schedule and hand the chat to a person; WhatsApp Calling in the inbox where the number qualifies; and an optional AI agent for the first turn. Start with Step 2 on the sales number and Step 3 on the service number; both are a weekend’s setup, and both show up in the month’s numbers.

Common questions

How do car dealers handle Click-to-WhatsApp ad enquiries?

The ad opens a WhatsApp chat with the dealership's business number. An instant reply asks which model and offers test-drive slots as buttons; the tap tags the contact with the model and hands the chat to the sales team. The conversation records which ad it came from, so you can see which campaigns bring test drives rather than just clicks.

Can a service centre send service-due reminders on WhatsApp automatically?

Yes. Import the due dates from your dealer management system or a spreadsheet, and a journey sends an approved utility template on the due date with buttons such as This week, Next week and Call me. A tap books the slot or hands the chat to a service advisor.

What is the cost of WhatsApp service reminders in India?

Reminders and status updates are utility messages at ₹0.1150 each on Meta's India rate card from 1 October 2026. A dealership sending 2,000 such messages a month pays about ₹230 before GST, plus the provider's plan fee. Customers' own messages are free up to 1,000 a month per number.

Can customers call the showroom on WhatsApp instead of the landline?

Yes, where WhatsApp Calling is enabled on the business number. Calls land in the same inbox as the messages, so the advisor sees the customer's chat and vehicle while talking. Meta applies eligibility rules to the number, and the customer calls from their WhatsApp app.

Can we remind customers about insurance renewal on WhatsApp?

A renewal reminder about a policy the customer already holds is a utility message. A promotional offer for a new product is a marketing message that needs opt-in and an approved template at the marketing rate. Keep the two separate, and record the opt-in on the contact.
