WhatsApp Business display name: the rules, the rejections and how to change it

The display name is what a customer who hasn't saved your number sees at the top of the chat. Meta reviews it against a short set of rules, often weeks after you start messaging, and turns down names that look generic, promotional or unconnected to the legal business. Here is what Meta's pages say, and how to pick a name that passes first time.

The short version

  • The display name is set when you add a number and reviewed later, once your account becomes eligible for a higher messaging limit. You can message customers before it is approved.
  • Meta's guidelines come down to three tests: the name follows its messaging policy, it accurately represents the business, and its link to the legal name or website is visible.
  • Names are rejected for 'Official' or 'Verified', generic words or places, promotional text, a website or email format, a person's or employee's name, or no visible link to the legal business.
  • You can change a display name 10 times in 30 days. After approval the number must be registered again within 14 days, or the name goes back for review.
  • An approved display name is one of five conditions for the blue Official Business Account badge, with business verification, 30 days on the Platform, two-step verification and policy compliance.

Mehul Rathod sells tiles and sanitaryware from a two-floor shop in Rajkot with six staff. The GST certificate says B K Rathod Trading Co. The signboard, the visiting cards and the Google listing all say Rathod Tiles. When his provider’s signup form asked for a WhatsApp Business display name, he typed “Rathod Tiles Official”, because that is what his nephew had put on Instagram.

Nothing happened for seven weeks. Customers got their delivery updates. Then business verification cleared, the messaging limit moved to 2,000, and a notification arrived: display name rejected. The messages kept going out. Only the name at the top of the chat was in question.

That order of events confuses most owners. What follows is the display name as Meta’s own pages describe it, read on 15 October 2026. (Mehul and his shop are invented; the rules are not.)

What is the WhatsApp Business display name?

It is the name tied to one WhatsApp Business Platform phone number, shown on that number’s profile and, once approved, at the top of individual chats and in the chat list. Meta’s developer page adds one condition: if a customer has saved your number under their own label, “the name they set will appear instead”.

Three things get mixed up here:

  • The display name belongs to the phone number and goes through review. Two numbers can have two names.
  • The business profile (address, description, email, website, category and photo) also belongs to the number. It can be edited at any time and is not reviewed.
  • Business verification belongs to the business portfolio, the Meta account above your numbers, and checks the company’s legal existence. Our business verification guide covers it.

The API muddles the naming further. The display name is returned in a field called verified_name, and Meta’s page says plainly that this value “doesn’t indicate whether the display name is approved”. The field that does is name_status. (Terms like business portfolio and messaging limit are defined in our glossary.)

When does Meta review the name?

Not when you sign up. The Help Centre says you “can begin sending messages to customers immediately”, and that the requested name “becomes eligible for review once your business becomes eligible for higher messaging limits”. The developer page says the same from the other side: when you reach a higher messaging limit, the display name “automatically undergoes verification”.

Reaching that limit means completing one of Meta’s three scaling paths: business verification, verification led by your provider, or 2,000 delivered template messages to unique customers within 30 days using high-quality templates. Meta’s scaling page lists “Display your business name to customers in chats” as something you gain after scaling, with the note “This name is subject to review”. That is why Mehul heard nothing for seven weeks. His name was sitting in a queue that only opened when verification went through.

The name_status values on Meta’s phone numbers page tell you where a name stands: AVAILABLE_WITHOUT_REVIEW before the review starts, PENDING_REVIEW during it, then APPROVED or DECLINED. Two more, EXPIRED and NONE, concern the certificate that only on-premises deployments need to download.

Neither page gives a duration for the review itself. If a provider promises “approval in 24 hours”, that is the provider’s experience, not Meta’s commitment.

The three tests in Meta’s guidelines

Meta’s Help Centre groups its rules under three principles: policy compliance, accurate representation, and a clear relationship with the legal name and external branding. Everything a reviewer rejects falls under one of them.

Policy compliance is the short one. The name can’t describe something the Business Messaging Policy or Commerce Policy forbids. Meta’s example is a sporting goods shop whose name adds “Guns department”.

Accurate representation is where most rejections come from. The name must represent the business, a service, a product or a department. It must not be a generic term (Meta’s example: “Fashion”) or a generic place (“New York”). It must not include “Official” or “Verified”, because that implies an endorsement Meta hasn’t given. It must not reference Meta or WhatsApp (“Minni’s Muffins WhatsApp”). It must carry no advertising or promotional language (“20% off sale”, “Best rated store in Texas”). And it must not be formatted as a website or an email address.

The relationship test is the one that catches Indian businesses, because a trading name that differs from the registered name is normal here. Meta wants the link to be visible somewhere it can check: your website, your social pages, or the verified legal name. Where the link isn’t obvious, its suggested form is “by [company name]”, as in “Fruit Snacks by Fresh Produce”. If you are an agency, distributor or parent company using a client’s or subsidiary’s name, the relationship “must be evident on the business website”. Abbreviations of the company name, a city after it, and a staff member’s name after it are all accepted in Meta’s examples.

Two things the current page does not say. It gives no rule on capitals, punctuation or emoji, so there is nothing to quote on those. And its examples are all in Latin script; it says nothing about a name in Gujarati or Tamil. In both cases the safe reading is the one the page does state: the name must match your branding “on external sources such as the company website or marketing”. Write it the way it appears there.

Our verification guide has Meta’s own accepted and rejected examples in a table, so they aren’t repeated here.

Six Indian names: three that pass, three that don’t

Apply the tests to Mehul and two other invented businesses.

Display nameVerdictWhich rule decides it
Rathod Tiles by B K Rathod Trading Co.PassesThe trading name and the legal name are both present, in the “by” form Meta suggests when the link isn’t obvious
Bajwa Hosiery LudhianaPassesBusiness name plus a city, the same shape as Meta’s “Fresh Produce Boston”
Meenakshi Iyer Dental ClinicPassesA personal name is fine when the nature of the business is clear, as in Meta’s “Tom Ford Chiropractor”, provided her website or listing shows it
Rathod Tiles OfficialRejected”Official” implies a status Meta hasn’t granted
Best Tiles in RajkotRejectedPromotional language, and a generic place rather than a business
rathodtiles.inRejectedFormatted as a website address

Two near misses worth knowing. “Rajkot Tiles” is a generic place plus a generic product. “Mehul, Sales desk” names an employee, which has its own rejection code. Plain “Rathod Tiles” passes only if the website or Google listing shows B K Rathod Trading Co. behind it; the “by” form is the way through when it doesn’t.

What a rejection looks like

Your provider receives a phone_number_name_update webhook, and your Meta Business Suite shows a notification. The webhook’s decision field is APPROVED, REJECTED, PENDING (still under review) or DEFERRED. When it is rejected, rejection_reason names the cause:

Reason codeWhat it meansWhat usually fixes it
NAME_NOT_CONSISTENTThe name doesn’t match the business’s brandingUse the name on your website and signboard, or add “by [legal name]“
NAME_ENDCLIENT_NOTRELATEDThe name belongs to an unrelated businessIf you act for that business, put the relationship on your website first
NAME_FORMAT_UNACCEPTABLEThe format breaks a ruleRemove “Official”, promotional words, a URL or an email address
NAME_EMPLOYEE_ISSUE and NAME_INDIVIDUAL_ISSUEThe name is a person’s name or an employee identifierAdd what the business does, or use the business name with the person after it
UNKNOWNNo reason recordedMeta’s page says to contact support

On the number itself, name_status becomes DECLINED. Meta’s page gives two routes from there: edit the name to fit the guidelines, or “file an appeal via Developer Support or Enterprise Developer Support”. Ask your provider for the reason code before you do either. Most rejections take a minute to understand once you can see it.

How to change the display name, and how often

You can change a display name 10 times in a 30-day period. The route in WhatsApp Manager is Account tools, then Phone numbers, select the number, open the Profile tab and click Edit in the Display name section. Through the API, a provider sets the new_display_name field and polls new_name_status, which reads PENDING_REVIEW until Meta decides.

Every change goes through verification again, and the Help Centre warns that any edit made after a review has started “will need to be reviewed and approved before the updated display name can be used”. Don’t rename twice in a week and expect the second one to jump the queue.

Then comes the step people miss. Once the new name is approved, the phone number must be registered again for the name to reach WhatsApp’s servers, and you have 14 days to do it. Miss the window and “you must submit the display name for review again”. Registering before approval “has no effect”, so the order is: wait for the approved webhook, then register. Registration is an API call that your provider normally makes, and under Meta’s new account model, rolling out since 23 September 2026, “Partners can change the display name without knowing the PIN”. On older accounts the call needs the number’s two-step verification PIN, which our phone number options guide explains.

One exception: if the number already has Official Business Account status, Meta says to contact direct support to change the name rather than editing it yourself.

How the name ties to the Official Business Account

An Official Business Account is a phone number with a blue checkmark beside its name. Meta’s page, updated 19 September 2026, lists five conditions, and an approved display name is one of them. The others are compliance with the Business Messaging Policy, at least 30 days registered on the Platform, business verification of the portfolio, and two-step verification enabled on the number. Meta does not grant the badge to employees, test accounts or WhatsApp Business app numbers, and a rejected request can be resubmitted after 30 days.

The Help Centre adds a bar the developer page doesn’t: the business “must be considered a notable business”, meaning “a substantial presence in news articles from publications with sizable audiences”. A six-person tile shop isn’t notable in that sense, and that is fine. The badge is not what makes the name show.

What the badge does change is search. Meta says a number without it “will not appear in search results when users search for it within the WhatsApp application”, unless the person has saved the number. Our badge guide covers the three routes to a tick and what none of them does.

The business profile: what customers see when they tap your name

When a customer taps the name at the top of a chat, they see the business profile. It belongs to the same phone number, needs no review, and most new accounts leave half of it empty. Meta’s field limits, from its business profiles reference:

FieldLimit on Meta’s page
About1 to 139 characters; shown under the photo and number
AddressUp to 256 characters of free text; Meta says it is not checked against any geographic database
DescriptionUp to 512 characters
EmailUp to 128 characters, in valid email format
WebsitesUp to 2, each up to 256 characters, with the https:// part included; a Facebook Page or Instagram URL counts
CategoryOne value from Meta’s list, such as Shopping and Retail, Medical and Health, Education, Beauty, Spa, and Salon, Automotive, Restaurant, Travel and Transportation, Finance and Banking, or Professional Services
Profile photoUploaded through Meta’s upload API; the page lists no pixel size

You edit these in the same Profile tab as the display name, or through the API. There is no separate delete: Meta’s page says that to delete a business profile “you must delete your phone number”.

For Mehul the profile is the cheaper fix. A customer who sees “Rathod Tiles by B K Rathod Trading Co.” and, below it, the Rajkot address, the shop hours in the description and a link to the catalogue page knows who they are talking to, badge or no badge.

If you are choosing a name today, take the one on the signboard, check that your website or Google listing shows the registered company behind it, and add “by [legal name]” if it doesn’t. Fill in the profile the same afternoon. Then leave the name alone until Meta has looked at it, which, as our guide to the WhatsApp Business API in India explains, usually means after business verification goes through.

Common questions

What is the WhatsApp Business display name?

It is the business name attached to a WhatsApp Business Platform phone number. It appears on the number's WhatsApp profile and, once Meta approves it, at the top of chats and in the chat list for customers who haven't saved the number. It is separate from the business profile fields and from business verification of the company itself.

Why was my WhatsApp Business display name rejected?

Meta's guidelines reject names that include 'Official' or 'Verified', generic words or places, promotional text, a website or email address, a reference to Meta or WhatsApp, a person's or employee's name without a clear business, or a name with no visible link to the legal business. The webhook carries a reason code such as NAME_NOT_CONSISTENT or NAME_EMPLOYEE_ISSUE.

How do I change my WhatsApp Business display name?

In WhatsApp Manager open Account tools, then Phone numbers, select the number, open the Profile tab and click Edit in the Display name section. Meta reviews the new name. Once it is approved, the number must be registered again within 14 days for the name to take effect. You can change a name 10 times in a 30-day period.

How long does WhatsApp display name approval take?

Meta's pages give no duration for the review itself. What they do say is when it starts: the name becomes eligible for review once your business qualifies for a higher messaging limit, through business verification, partner-led verification or 2,000 quality template messages in 30 days. You can message customers while the name is unreviewed.

Can I use my own name as the WhatsApp Business display name?

Yes, if the nature of the business is clear from outside sources. Meta's example of an acceptable personal name is 'Tom Ford Chiropractor'. A bare personal name, or an employee's name or identifier, is rejected with the reason code NAME_INDIVIDUAL_ISSUE or NAME_EMPLOYEE_ISSUE. A staff name after the business name, such as 'Fresh Produce Juices - Jessica', is accepted.
