WhatsApp for makeup artists: bridal booking from the Instagram enquiry to the wedding morning
In wedding season a freelance makeup artist gets more enquiries in a week than bookings in a year. Most are price checks. The trick is a first reply that finds the real brides, a date that is held only when the advance lands, and three artists who never book the same morning twice.
The short version
- Ask the wedding date before anything else. It's the one answer that can end the conversation, and buttons for city, number of looks and budget sort the rest in a few taps.
- A private reply to an Instagram comment is one message within 7 days. Use it to ask the date and city, then move the booking to WhatsApp, where an approved template can still reach the bride months later.
- Trial, wedding-day and balance reminders tied to a booking are utility templates at ₹0.1150 each to Indian numbers before GST. Put an offer in any of them and it becomes marketing at ₹0.8631.
- Hold a date only when the advance arrives, and let one person confirm dates in one calendar, whoever answers the chat.
It’s the second week of October in West Delhi, and Komal Arora’s phone hasn’t stopped. She is a freelance bridal makeup artist working with one associate, Farah Siddiqui, and a hairstylist on wedding days. A reel of a bride she did in March is doing the rounds again. Since Sunday: 140 comments, most of them “price?”, 60 Direct messages and 35 WhatsApp chats on the number in her bio. (Komal and her studio are invented. The platform rules are Meta’s.)
Her makeup artist WhatsApp set-up is the usual one: the number on her own phone in the WhatsApp Business app, Farah on a linked laptop, bookings in a paper diary. Last season it booked two brides on the same December morning, one confirmed from the laptop and one from the phone.
This playbook follows a booking in order. The salon pattern of slots and no-shows is in our salon and spa playbook; a bridal booking is one date, months ahead, often in another city, with money paid up front.
Where do bridal makeup enquiries come from?
Mostly Instagram, then WhatsApp, then word of mouth. For an artist like Komal, a week in October looks like this:
| Route | What it usually says | What it needs first |
|---|---|---|
| Comment under a reel | ”Price?” or “Free in Feb?” | One public line, then a private message |
| Instagram Direct message | ”Hi di, bridal package for 14 Feb in Ludhiana?” | The date checked against the diary |
| WhatsApp from the bio link | A screenshot of the reel and “how much” | The same qualifying questions |
| A past bride’s cousin | ”Simran gave me your number” | A fast reply, because these book |
In Komal’s inbox, most freelance makeup artist enquiries in peak season are price checks from brides who haven’t fixed a date or a budget. The first reply’s job is to find the ones who have.
How should a makeup artist answer Instagram comments and DMs?
In public with one line, then in private with one message that asks for the date. Meta’s private-reply page (updated 2 July 2026) allows a single message to the person who commented, sent within 7 days of the comment, and you can continue only if they answer. “Hi, DM’d you!” spends that message and gives the bride nothing to answer. Komal’s private reply reads:
Hi! Bridal makeup starts at ₹18,000 for one look in Delhi NCR, with hair and draping. Which date is your wedding, and in which city? I'll check the diary straight away.
When she answers, Meta’s standard messaging window applies: 24 hours for most actions, according to its Instagram Messaging overview (updated 28 September 2026), with a Human Agent tag of up to 7 days for apps Meta has granted it. Our Instagram DM guide has the full rules.
That is why the booking should move to WhatsApp once the bride is serious. Nothing on Instagram reaches her in February about a trial she booked in October; an approved WhatsApp template can. When the date is free and she likes the rate, ask: “Shall I send the full rate card on WhatsApp?”
The first reply that qualifies: date, city, looks, budget
Ask the date first, because it’s the only answer that can end the conversation. Then the city, the number of looks and the budget, each with a tap, because a bride scrolling at 11 pm answers buttons faster than she types.
Meta’s limits shape the questions. A reply-button message carries up to three buttons with titles of up to 20 characters (page updated 21 May 2026). A list message holds up to 10 rows with titles of up to 24 characters (updated 2 July 2026), which suits a longer menu of packages.
- Simran Gill: hi di bridal makeup price? wedding in feb 10:42 pm

- Simran Gill: 14 feb, morning pheras 10:45 pm

- Up to ₹30,000
- ₹30,000 to ₹50,000
- Above ₹50,000
- Tagged: 14 Feb · Punjab · 2 looks · 30k to 50k · assigned to Komal
These are free-form interactive messages inside the 24-hour window, so Meta counts them as service messages. From 1 October 2026 each business number gets 1,000 free service messages a month, and each one after that costs ₹0.1150 to an Indian number, before GST. (Terms such as service message and utility template are in our glossary.)
The buttons sort; a person quotes, because a bridal quote depends on travel and family headcount. Every answer becomes a tag, so on Monday Komal sees every enquiry for 14 February in one list.
Sending the portfolio and rate card without flooding the chat
Three photos, one PDF and at most one short video, not forty images. Meta’s media page (updated 16 June 2026) sets the limits: JPEG or PNG images up to 5 MB, MP4 video up to 16 MB with H.264 video and AAC audio, and documents such as PDF up to 100 MB.
- The rate card as a two-page PDF with the validity in the filename, such as
Komal-Arora-Bridal-Rates-Oct26-Mar27.pdf, listing inclusions, outstation charges and the advance terms. - Three looks that match what she asked for: a Punjabi bride gets Punjabi bridal photos.
- One 20-second before-and-after clip. Meta’s page warns that H.264 “High” profile video with B-frames doesn’t play on Android WhatsApp, so export one plain MP4 and reuse it.
Taking the booking advance by UPI
The date is held when the advance arrives, not when the bride says yes. Say so in the rate card and in the chat. In Komal’s case, an illustrative ₹10,000 holds a date and is adjusted against the final bill.
Most artists send a UPI ID or a gateway payment link, and the bride pays in her own UPI app. Meta’s Payments API for India can put the bill and a pay button inside the chat, but its overview (updated 21 May 2026) ties it to a payment gateway and a provider that has built it; our WhatsApp payments guide explains the modes. For thirty advances a season, a link is enough.
Confirm the booking in writing. Send it as a utility template, so it still goes out if the bride pays a day later and the chat has gone quiet:
Thank you {{1}}, we have received ₹{{2}}. Your booking with Komal Arora Makeovers is confirmed for {{3}}: {{4}} at {{5}}. The balance of ₹{{6}} is due on the wedding day. We will fix your trial date with you closer to the wedding.
Add one line to both the rate card and the confirmation: payments go only to the UPI ID printed on the rate card, in the artist’s own name. A bride who has never met you is trusting a stranger with ₹10,000.
Trial and wedding-day reminders brides actually read
Each one is a utility template tied to a booking the bride has made, at ₹0.1150 a message. Meta’s categorization page (updated 15 September 2026) says a utility template must be non-promotional and specific to the user, and Meta confirms the category at review.
The trial reminder, two days before, with Confirm and Reschedule buttons:
Hi {{1}}, your makeup trial with Komal Arora Makeovers is on {{2}} at {{3}}. Please come with a clean face and bring a photo of your outfit and jewellery. Tap below to confirm or move it.
The wedding-day reminder, the evening before, with All set and Timing changed buttons:
Hi {{1}}, our team will reach {{2}} by {{3}} on {{4}} for your bridal look. Please keep a table near a window and one free plug point. Tap below if anything has changed.
The balance reminder, a week before the wedding:
Hi {{1}}, a reminder that the balance of ₹{{2}} for your booking on {{3}} is due on the wedding day. You can pay by UPI to the ID on your booking confirmation.
Planning for wedding season
Peak dates fill months ahead, and enquiries arrive in waves after every reel. Four habits help.
- One calendar, one person who confirms dates. Farah can quote and send the rate card; only Komal writes a date into the diary.
- When a date is full, say so in the first reply and tag the enquiry with the date. If a booking cancels, the tag tells you who asked.
- Run Click-to-WhatsApp ads before the rush. A chat started from one on the Android or iOS app opens Meta’s free entry point window when you reply in time, open for up to 7 days according to the pricing page, and every message in it is free. Our free window guide has the timing.
- A message to past brides about Lohri or family-function makeup is marketing: ₹0.8631 each, and only to people who agreed. Ask at the trial and record the yes; our opt-in guide has the wording.
Two or three artists on one number
Each enquiry should belong to one artist, with notes everyone can see. The free WhatsApp Business app allows one phone and up to four linked devices, according to WhatsApp’s help centre, but every device sees every chat and nothing marks who has which bride. Meta’s paid multi-agent option, part of a Meta Verified or Meta One subscription, allows up to 10 devices with chat assignment. A shared inbox on the WhatsApp Business Platform gives each artist a login instead of a device. Our guide to WhatsApp for multiple users compares the three.
Whichever you pick, write on the bride’s contact what the artist on the road to Ludhiana will need: the venue, the reach time, skin notes such as “reacts to latex lash glue”, and how many family members need makeup.
A solo artist with one phone may be fine on the free app. The Platform charges per message, and moving a number to it usually means it stops working in the phone app, so ask any provider how they handle that first.
What a November month costs
An illustrative peak month for Komal, with 300 enquiries and 25 bookings, at Meta’s rates before GST:
| Message | Category | Volume | Meta charge |
|---|---|---|---|
| Replies while qualifying and quoting | Service | 2,400 | 1,000 free, then 1,400 × ₹0.1150 = ₹161.00 |
| Booking confirmations | Utility | 25 | ₹2.88 |
| Trial and wedding-day reminders | Utility | 50 | ₹5.75 |
| Balance reminders | Utility | 25 | ₹2.88 |
| Family-function offer to opted-in past clients | Marketing | 180 | ₹155.36 |
About ₹328 in Meta charges for the month, counting WhatsApp only. Nearly half is the one marketing message, the line to cut first if money is tight. Our October 2026 cost guide has the full rate table.
Before the next reel goes out
- One WhatsApp number the business owns is on the Instagram bio, the rate card and the visiting card
- Private replies to comments give a starting price and ask the date and city
- The first WhatsApp reply asks the date, then city, looks and budget, with buttons
- The rate card PDF shows validity, inclusions, travel and advance terms; photos are under 5 MB
- A date is held only when the advance lands, and the confirmation says so
- Trial, wedding-day and balance templates are approved as utility, with no offers in them
- One person confirms dates in one calendar
- Opt-in to offers is asked at the trial and recorded on the contact
Start with the date question. When “which date?” is the first thing every bride hears from you, the price checks sort themselves out.
Common questions
How do makeup artists take bridal bookings on WhatsApp?
Ask the wedding date first, then the city, the number of looks and the budget, using reply buttons so the bride can answer by tapping. Send the rate card as a PDF with three matching looks, hold the date only when the advance arrives, and confirm the booking in writing with the date, venue and balance due.
Can a makeup artist reply to Instagram comments with the price?
Yes, with a private reply. Meta allows one Direct message to the person who commented, sent within 7 days of the comment, and the conversation continues only if they answer. Make that single message give the starting price and ask the wedding date and city, so the bride has something to reply to.
Are makeup trial and wedding-day reminders utility or marketing messages?
A reminder about a trial or a wedding booking the bride has already made is a utility template, at ₹0.1150 per message to an Indian number before GST on Meta's 1 October 2026 rate card. Add an offer and Meta treats it as marketing, at ₹0.8631. Meta confirms the category when it reviews the template.
Can two or three makeup artists share one WhatsApp number?
Yes. The free WhatsApp Business app allows one phone and up to four linked devices, but no chat assignment. Meta's paid multi-agent option allows up to 10 devices with assignment. A shared inbox on the WhatsApp Business Platform gives each artist their own login and puts each enquiry with one named artist.
