Instagram DMs for business: the 24-hour rule, comment replies, and running them with a team
Any tool that answers Instagram DMs for you works through Meta's messaging API, and that API has rules the Instagram app never shows you. We read Meta's developer pages on 13 October 2026 and wrote down what they say, with the date on each page.
The short version
- Through Meta's API, a business can only message someone who contacted it first, and has a standard window to reply: 24 hours for most actions, up to 7 days after a Click-to-Direct ad.
- A private reply to a comment is one message, sent within 7 days of the comment. You can only continue if the person answers, and then the 24-hour window applies.
- Meta says sponsored messages and one-time notifications are not available for Instagram messaging, and we found no documented way to send a promotion once the window has closed.
- Meta retired the Handover Protocol for Instagram. Conversation Routing now decides which app holds a thread when Meta Business Suite and another inbox are both connected.
Using Instagram DM for business is easy while one person holds the phone. Zoya Rizvi runs a custom cake studio in Lucknow with three people. On a Friday in October a reel of a four-tier wedding cake did what reels sometimes do: 240 comments by Sunday night, most of them “price?”, and about 60 Direct messages. All three staff were logged in to the same Instagram account on their own phones. Two of them answered the same bride. Nobody answered the comments.
On Monday Zoya went looking for a tool that would put the DMs in a shared inbox and send the price list to everyone who commented. Every such tool works through Meta’s messaging API, and the API has rules the app doesn’t show you. This article sets them out from Meta’s own developer pages, read on 13 October 2026.
Two things to know before planning around a feature. The Human Agent tag, which gives a person up to 7 days to answer, is a feature Meta grants to an app, so ask your provider whether it has it. And Meta’s pages say quick replies and ice breakers are currently not available on desktop.
Which accounts can use the Instagram messaging API?
Instagram professional accounts, which means business or creator accounts. Meta’s Instagram Messaging overview (updated 28 September 2026) lists both as eligible. A personal account has to switch first; Instagram’s Help Centre says a professional account can’t be set to private.
Meta documents two ways for a tool to connect:
| Instagram API with Instagram Login | Instagram API with Facebook Login | |
|---|---|---|
| You log in with | Instagram credentials | Facebook credentials |
| Facebook Page | Not required | Required, linked to the Instagram account |
| Messaging | Supported | Supported, through Meta’s Page-based messaging API |
| Comment moderation | Supported | Supported |
Which one applies depends on how your provider built its product. On the Page-linked route, the person connecting the account must be able to perform admin-equivalent tasks on the linked Page.
One more line in Meta’s overview explains something you may run into. A tool that serves accounts it doesn’t own needs Advanced Access, which requires Meta’s App Review and Business Verification. Until then it has Standard Access, and Meta says such apps “can only interact with people who have a role on the app”. That is why a provider may switch Instagram on for customers one at a time while a review is in progress.
What is the 24-hour rule for Instagram DMs?
A business can reply through the API only during the standard messaging window, which lasts 24 hours for most of the actions that open it. Meta’s wording, on pages updated 28 September 2026: “For most user actions, it lasts 24 hours. When the user action is a person sending their first message after clicking a Click-to-Direct ad, the window may last up to 7 days from that message.”
The customer has to move first. “Conversations only begin when an Instagram user sends a message,” says the Send Messages page. A new message from the person opens the window again.
| Situation | What Meta’s pages allow |
|---|---|
| The person messaged you in the last 24 hours | Reply freely. Meta says messages in the window “may contain promotional content” |
| First message came after a Click-to-Direct ad | The window “may last up to 7 days from that message” |
| The window has closed and a person needs to answer | The Human Agent tag: a manual reply within a separate 7-day period, for apps granted the feature |
| The window has closed and you want to send an offer | Nothing. Message tags “may not be used to send promotional content” |
Meta gives two examples of proper Human Agent use: the business was closed for the weekend, or the issue needs more than 24 hours to resolve. It is for finishing a support conversation.
The window is a rule for apps that send through the API, which is how every third-party inbox and automation tool works. The developer pages we read don’t discuss replies typed by hand in the Instagram app, so we make no claim about them here.
How do you reply to Instagram comments in DM?
With a private reply: one message to the commenter, sent within 7 days of the comment. Both of Meta’s private-reply pages (updated 30 June and 2 July 2026) give the same limits:
- Only one message can be sent to the person who commented.
- It must be sent within 7 days of when the comment was created, on a post, an ad post or a reel.
- For Instagram Live, a private reply can be sent only during the broadcast.
- Follow-up messages can be sent only if the person responds, and then within 24 hours of the response.
The message arrives with a link to the post. It lands in the person’s inbox if they follow you and in their Requests folder if they don’t.
For Zoya, that means each of the 240 “price?” comments can receive exactly one DM, any time up to the following Friday. So that single message has to do the whole job: the starting price, what changes it, and a question that invites a reply (“Which date is the wedding?”). “Hi! How can we help?” spends the one message and gives the person nothing to answer.
Meta also rate-limits the API: 750 private replies an hour per Instagram account for comments on posts and reels. A reel that draws thousands of “send me the link” comments will be answered over hours, whatever the automation tool promises.
What can’t a business do in Instagram DMs?
It can’t start a conversation, and it can’t broadcast. Meta’s Send Messages page opens with the rule that “the conversation must be initiated by that person”. There is no contact list to upload.
The same pages mark several features of Meta’s Page messaging as unavailable on Instagram:
- Sponsored messages, which let a Facebook Page send promotional content after the window, “are not available for IG Messaging API”.
- One-time notifications, the opt-in for a single follow-up such as a back-in-stock alert, are “not available for IG Messaging API”.
- Group messaging is not supported. An account talks to one person per conversation.
That Send Messages page also describes recurring marketing messages a person can opt in to, and pre-approved utility templates. It does not say whether either works for Instagram accounts. We could not confirm it from Meta’s pages, so treat any “Instagram broadcast” feature as unproven until your provider shows you the Meta page it relies on.
A tool that sends cold DMs or bulk DMs to people who never wrote to you is not using this API as documented. Meta’s policy page says misuse of message tags “may result in restrictions on your ability to send messages”.
Instagram DM automation: what Meta documents
Automation is allowed, with a way out to a human. Meta’s Instagram Messaging overview says apps “must have an escalation path to a human agent”. A flow can ask a few questions first, but the person must be able to reach someone.
Where the law requires it, an automated chat must say that it is automated. Meta names California and Germany, and recommends the disclosure everywhere as good practice.
Two building blocks have documented limits:
| Feature | What it is | Limits on Meta’s page |
|---|---|---|
| Quick replies | Buttons under a message; the tapped title is posted as the person’s reply | Maximum 13, each up to 20 characters, plain text only, not on desktop. Phone-number and email quick replies are disabled for Instagram (page updated 5 Oct 2026) |
| Ice breakers | Suggested questions a person sees when starting a chat | Maximum 4 questions, not on desktop (page updated 2 Jul 2026) |
A sensible first automation for a business like Zoya’s is small: an instant reply with three quick replies (Wedding cake, Birthday cake, Something else) and a person taking over from the tap. More flows are in our lead generation guide, which covers the WhatsApp side of the same enquiries.
Can a team share an Instagram inbox with Meta Business Suite?
Yes, but only one app holds a thread at a time once routing is configured. Meta’s Conversation Routing page (updated 28 September 2026) begins with a notice: “Meta no longer supports the Handover Protocol for Instagram. All businesses have been migrated to Conversation Routing.”
How Meta describes it:
- The app responsible for a conversation is the thread owner. A thread with no message from the person in the last 24 hours is idle.
- The business sets a default application in its Facebook Page settings. Only the default app can send into an idle thread while the window is open.
- Meta Business Suite Inbox can be one of the connected applications, and can be the default.
- An app can pass, release, request or take thread control. Taking control is open only to apps the business has allowed to “Take control of conversations”.
If nothing is configured, Meta’s default behaviour applies: every connected app receives every message and all of them can answer. The page is blunt about the result: “you are responsible for coordinating responses between your app and the Inbox to avoid sending multiple responses to the same user message.”
That is the two-people-answered-the-same-bride problem, in Meta’s words.
Three quirks of the Instagram app’s own inbox are worth telling your team. A conversation answered through a third-party app moves to the General folder whatever your settings. A message that reached your tool is not shown as read in the Instagram app until a reply is sent. And message requests left untouched for 30 days are no longer returned to the tool at all, so clear the Requests folder weekly.
Routing settles which app answers. Who on the team answers is a separate question, and the same one WhatsApp teams face: one owner per conversation, a note when it changes hands, a view of what is unanswered at closing time. Our customer support guide covers that routine, and the jewellery and boutique playbook shows it running on Instagram and WhatsApp together.
How is Instagram messaging different from WhatsApp?
The window is the same length; almost everything around it differs. If your team already runs the WhatsApp Business Platform, the terms are in our glossary.
| Instagram messaging API | WhatsApp Business Platform | |
|---|---|---|
| Who can start | Only the customer | The customer, or the business with an approved template |
| Reply window | 24 hours for most actions | 24 hours from the customer’s last message |
| After the window | Human Agent tag for manual, non-promotional replies within 7 days, if the app has the feature | An approved template, at any time, to people who opted in |
| Promotions to a list | No route documented for Instagram | Marketing templates, ₹0.8631 per delivered message in India |
| Meta’s per-message price | None published on the Instagram pages listed in our sources | Rate card by category; service replies ₹0.1150 after 1,000 free per number a month |
| Public comments | One private reply within 7 days | Not applicable |
| Customer is identified by | An Instagram-scoped ID and username | A phone number |
On price, we are being careful. None of the Instagram messaging pages in our sources contains a rate card or mentions a charge per message, and WhatsApp’s pricing page covers WhatsApp only. We did not find a page where Meta says in as many words that Instagram messaging is free, so we are not saying it either. WhatsApp rates above are from Meta’s India rate card effective 1 October 2026, before GST.
The practical upshot is a division of labour. Instagram is where strangers find you and ask the first question. WhatsApp is where you can, with consent, write to them again next month. Ask for the phone number and the opt-in while the Instagram window is open, because once it closes, Meta documents no promotional route back in.
Zoya’s fix took a week. One inbox instead of three phones. One private reply to every comment from that reel, written to earn an answer. And a habit at the counter: before the 24 hours run out, ask the bride for her WhatsApp number and whether you may message her on it.
Common questions
What is the 24-hour rule for Instagram DMs?
An app using Meta's messaging API can reply to a person only during the standard messaging window that their action opens. Meta's pages, updated 28 September 2026, say the window lasts 24 hours for most actions, and may last up to 7 days from a person's first message after a Click-to-Direct ad.
Can a business reply to Instagram comments in DM?
Yes. Meta calls it a private reply. The business can send one message to the commenter within 7 days of the comment, and the message carries a link to the post. Follow-up messages are allowed only if the person responds, and must then be sent within 24 hours of that response.
Which Instagram accounts can use the Instagram messaging API?
Instagram professional accounts, meaning business or creator accounts. Meta documents two set-ups: Instagram API with Instagram Login, which needs no Facebook Page, and Instagram API with Facebook Login, which needs the account linked to a Facebook Page. A personal account has to switch to a professional account first.
Can a business send bulk or cold DMs on Instagram through the API?
No. Meta's Send Messages page says a conversation must be initiated by the person. Outside the standard messaging window only tagged, non-promotional messages are allowed, and Meta states that sponsored messages and one-time notifications are not available for the Instagram Messaging API.
Does Instagram DM automation need a human to be available?
Yes. Meta's Instagram Messaging overview says apps using the Instagram Messaging APIs must have an escalation path to a human agent. An automated flow may qualify the enquiry first, but the person must be able to reach a human when needed.
