WhatsApp for gyms and fitness studios: trials, renewals and class reminders on one number

Most gyms lose members quietly: a trial nobody followed up, a membership that ran out on a Sunday, a freeze request sitting on a trainer's phone. Here is how to run all of it from one number the gym owns, and what Meta charges for each kind of message.

The short version

  • Put enquiries, trials, freezes and payments on one business number with a shared inbox, not on the front desk's and trainers' personal phones.
  • Class reminders and payment-due reminders tied to something the member booked or owes are utility messages: ₹0.1150 each on Meta's India rate card from 1 October 2026.
  • A gym membership renewal message is marketing under Meta's category rules, even if the member asked for it. Budget ₹0.8631 each and send it only to members who opted in.
  • For an illustrative 600-member gym, Meta's charges come to about ₹556 a month before GST. The provider's plan fee is the bigger line.

WhatsApp for gym enquiries usually means the front desk’s phone, and that works until the gym has more members than the front desk can remember. Dhruv Gowda runs Stride Fitness Studio in Mysuru: about 600 active members, two people at the desk in shifts, five trainers, and a 6 am batch that fills before the staff have had tea. Enquiries come to the desk phone. Freeze requests go to whichever trainer the member likes. Renewal dates sit in the billing software, and somebody is meant to ring the list on the 25th.

In September, 70 memberships ended and 31 were renewed. Dhruv doesn’t think the other 39 decided to leave. Most were never asked at the right time, by anyone.

This playbook puts the whole member cycle on one number: enquiry, trial, joining, classes, payments, freezes, renewal, and the people who drifted away. It also sorts each message into the category Meta bills it under, because a gym that gets that wrong pays seven and a half times more than it planned.

What does a gym need before the first message?

One number the gym owns, on the WhatsApp Business Platform, answered from a shared inbox. The Platform is Meta’s service for businesses, reached through a provider. Unlike the free WhatsApp Business app, it lets several people answer the same number, gives each chat one owner, and keeps the history when a trainer moves to the gym down the road.

Use the number already on the hoarding and on Google Maps. Give the two desk staff and the manager their own logins.

Terms such as template, service message and 24-hour window come up below. Our glossary explains each in a paragraph.

How do you turn an enquiry into a trial booking?

Answer with slots as buttons, inside the first few minutes, and let the visitor tap. “What are the fees?” is the usual first message, and a rate card on its own rarely gets anyone through the door.

Neha talking to Stride Fitness Studio
  1. Neha:
hi what are the fees for monthly 7:12 pm
  2. Stride Fitness Studio:
Hi Neha! Monthly is ₹2,200, quarterly ₹5,700. Easier to judge after a free trial session. Which suits you? 7:14 pm
    • Tomorrow 7 am
    • Tomorrow 6 pm
    • Saturday 8 am
  3. Neha:
    Tomorrow 6 pm 7:15 pm
  4. Tagged: trial · Assigned to front desk
  5. Stride Fitness Studio:
Booked. Ask for Karthik at the desk, he will take you through the floor. Carry shoes and a towel. 7:16 pm
The visitor wrote first, so every reply here is a free-form service message, not a template.

Because the visitor wrote first, these replies need no template. They are service messages inside the 24-hour window: the first 1,000 a month per number are free, and after that Meta charges ₹0.1150 each in India.

If the trial is more than a day away, the window will have closed by the time you want to remind them, so the reminder is a template:

Hi {{1}}, your trial session at Stride Fitness Studio is booked for {{2}} at {{3}}. Please carry shoes and a towel. Tap below if you need another time.

Buttons: Confirm, Change time. This is a utility template. It is about a booking the person made and it sells nothing.

What should the trial follow-up say?

Ask how it went, the same evening, while the window from their last message is still open. If they wrote to you within the last 24 hours, the follow-up is a plain reply: “How was the session with Karthik? Anything you’d want different?” No template, no offer yet. We’d ask the question before sending any discount: a visitor who tells you the 6 pm floor was too crowded has told you which batch to offer.

If the window has closed and you want to send the joining offer, that message is a marketing template. It promotes a membership, so it is charged at ₹0.8631 and should go only to trial visitors who agreed to hear from you. Add the consent line to the trial form at the desk. The wording and what to keep as proof are in our opt-in guide.

Which gym messages are utility and which are marketing?

Reminders about something the member booked or owes are utility; anything that asks them to buy, renew or come back is marketing. Meta decides the category, not the gym, and it approves a wrongly labelled template as marketing instead of rejecting it. You find out on the bill.

MessageCategoryIndia rate per delivered message
Reply to an enquiry, freeze request or questionService₹0.1150 after 1,000 free per number a month
Trial or class booking confirmation and reminderUtility₹0.1150
Instalment or payment-due reminder on a running membershipUtility₹0.1150
Gym membership renewal messageMarketing₹0.8631
New batch, festive offer, referral pushMarketing₹0.8631
Win-back to a lapsed memberMarketing₹0.8631

Rates are before GST, from Meta’s India rate card effective 1 October 2026. The reasoning behind each row is in our guide to how Meta decides what a message costs.

The renewal row is the one gym owners argue with. Meta’s categorisation page, updated 15 September 2026, lists “attempt to renew subscriptions” under marketing and adds that these are marketing “even if requested by users”. Its own marketing example reads “Your subscription will expire on {{date}}! Renew today to save {{discount}}.” The same page says utility account alerts must not “attempt to secure renewals”. A membership that is ending and a button that says Renew is exactly that.

Class and batch reminders

A reminder is utility when it is tied to a class that member booked. Send it the evening before a morning class, or three hours before an evening one:

Hi {{1}}, a reminder of your {{2}} class at Stride Fitness Studio tomorrow at {{3}} with {{4}}. Tap below to keep or release your spot.

Buttons: I’ll be there, Release my spot. The second button matters more than the first. A released spot in a 20-mat yoga batch goes to the waitlist; a silent no-show is a mat nobody used. The pattern is the one clinics use for appointments, and the timing detail in our appointment reminder playbook carries over.

Keep the template to the booking. “PS: new Zumba batch from Monday” in the same message makes the whole template mixed content, and Meta bills mixed content as marketing. A new-batch announcement is its own marketing template, sent to members who opted in.

Payment-due reminders

A reminder about money the member already owes on a running membership is utility. Meta’s page gives a close example under account alerts: “Reminder: Your monthly payment for {{service}} will be billed on {{date}}”. For a gym, that covers the second instalment of an annual plan or a monthly auto-debit.

Hi {{1}}, the next instalment of ₹{{2}} for your {{3}} membership at Stride Fitness Studio is due on {{4}}. Reply here if you need help with the payment.

Send it three days before the date and once on the day. Leave out late-fee threats and leave out offers. The line between this and a renewal is whether the member has already committed: an instalment on a plan they signed is a payment due, while a month-to-month member deciding whether to pay for November is a renewal.

If you’re unsure which side a template falls on, submit it as marketing. Paying 86 paise for a message that might have cost 11.5 is cheaper than having Meta recategorise a template you’ve built a month of billing around.

The gym membership renewal message

Send it as a marketing template, to opted-in members, ten days before the end date and once more three days before.

Hi {{1}}, your {{2}} membership at Stride Fitness Studio ends on {{3}}. Renew before then to keep your batch and locker. Tap below and the front desk will help.

Buttons: Renew, Talk to us. A tap on either opens the 24-hour window, so the desk can answer with the plan options as a free-form reply and take it from there.

At Stride, 70 expiries a month and two messages each is 140 marketing messages, about ₹121. One renewed quarterly membership at ₹5,700 pays for almost four years of that. The category matters for honesty in your budget and for opt-in, not because the sum is large.

More template wording, with the parts reviewers reject, is in our message template examples.

Freeze and hold requests

Handle them as conversations in the inbox, with the dates written on the member’s record. A freeze is the member writing to you (“travelling 3rd to 20th, can I pause?”), so the reply is a service message and needs no template.

What goes wrong today is where the request lands: on a trainer’s phone, agreed with a thumbs-up, and unknown to the billing software. Three weeks later the member is charged, or locked out, and the screenshot comes out.

So make one rule. Freezes go to the gym number. The desk replies with the policy in one line, confirms the dates, adds a note and a “freeze” tag to the contact, and updates the billing software. When the member returns and asks why the end date moved, the answer is in the thread.

Winning back lapsed members

Win-back messages are marketing, need opt-in, and should stop after two. A lapsed member has no open booking and owes nothing, so there is no utility version of “we miss you”.

Hi {{1}}, it has been a while since your last session at Stride Fitness Studio. We have a {{2}} for returning members until {{3}}. Want the details?

Buttons: Tell me more, Stop messages. Build the list narrowly: memberships that ended 30 to 120 days ago, opted in, never asked to stop. At Stride that is about 150 people, not the 2,300 names in the old register.

On frequency, Meta gives no fixed number. It limits how many marketing templates a person receives from all businesses combined, and the limit depends on how that person has been reading marketing lately. A message blocked this way comes back with error 131049, and Meta says to wait at least 24 hours before trying again. One message, one follow-up a fortnight later to those who didn’t read the first, then leave them alone until the new year.

You’ll lose a few people by stopping at two. You’ll keep the number’s standing, and every other message in this playbook depends on it.

What does this cost a 600-member gym each month?

About ₹556 in Meta charges before GST, on these illustrative volumes. The figures are an example built for Stride, not a benchmark; put your own counts in.

MessageCategoryVolumeMeta cost
Replies to enquiries, freezes and questionsService1,400 (1,000 free)₹46.00

Total3,430₹556.25

The marketing rows are 11% of the messages and 57% of the cost.

Your provider’s plan fee comes on top and is the larger number. Some providers also add their own charge per message, so read their rate card next to Meta’s.

Instagram enquiries belong in the same inbox

A gym’s reels bring more first questions than its website does, and “fees?” under a transformation reel is the same enquiry as “fees?” on WhatsApp. If the tool you choose brings Instagram Direct messages and comments into the inbox alongside WhatsApp, the desk works one list and the trial booking above happens in whichever app the person used. The broadcast messages in this playbook stay on WhatsApp, because that is where Meta’s templates and opt-in rules live.

Our salon and spa playbook covers the comment-to-booking routine in detail, and it carries over to a studio with “stylist” swapped for “trainer”.

Start with two things this week: move freezes to the gym number, and get the class reminder template approved. Then pull the list of memberships ending in the next ten days and check how many of those members have ever been asked whether you may message them. That count tells you how much of the renewal problem is an opt-in problem.

Common questions

Can a gym use WhatsApp to book trial sessions?

Yes. An enquiry to the gym's business number gets a reply with open trial slots as buttons, the visitor taps one, and the front desk confirms it from a shared inbox. On the WhatsApp Business Platform several staff can answer the same number, and each chat has one owner.

Is a gym membership renewal message a utility or a marketing template?

Marketing. Meta's template rules list attempts to renew subscriptions as marketing, even if requested by users, and say utility account alerts must not attempt to secure renewals. In India a marketing template costs ₹0.8631 per delivered message before GST, against ₹0.1150 for utility, and it needs the member's opt-in.

What does WhatsApp cost a gym in India each month?

Meta charges per delivered message: ₹0.8631 for marketing and ₹0.1150 for utility, with service replies at ₹0.1150 after the first 1,000 per number each month. For an illustrative 600-member gym sending about 3,400 messages, that is roughly ₹556 a month before GST, plus the provider's plan fee.

Are WhatsApp class reminders charged as utility messages?

A reminder about a class the member booked is specific to that member and not promotional, so it fits Meta's utility rules and costs ₹0.1150 in India. An announcement of a new batch sent to everyone is promotional. That is a marketing template at ₹0.8631 and needs opt-in.

How often can a gym message lapsed members on WhatsApp?

Meta publishes no fixed number. It limits how many marketing templates a person receives from all businesses combined, and the limit moves with how that person reads marketing. A sensible plan is one win-back message, one follow-up a fortnight later, then stop, sent only to former members who opted in.
