WhatsApp for property management and PGs: rent reminders, repairs and tenant notices
An 80-bed PG runs on one tenants' group where rent reminders, water-cut notices and 'AC not working' photos all scroll past each other, with every tenant's number on show. A business number, a maintenance desk and the right message category for each job does it better, and costs little.
The short version
- Rent-due reminders on an existing tenancy are utility messages at ₹0.1150 each in India. Keep them factual: Meta's template review rejects content that threatens a customer with legal action.
- Repair requests start with a list of categories. The tap tags the chat and hands it to the maintenance desk, and the tenant's photos stay on the thread as the record.
- Don't run notices through a big WhatsApp group: every member sees every number. API groups cap at 8 participants, so notices to a whole building go as one approved template to each tenant.
- Lease renewal offers are marketing, because Meta lists attempts to renew as marketing even when the customer asked.
- In our illustrative 80-bed PG, Meta's charges come to about ₹112 a month before GST. The provider's plan costs more than the messages.
Nikita Sharma runs an 80-bed PG in HSR Layout, Bengaluru: two buildings, 34 rooms, a front office of two and a maintenance supervisor, Javed Ansari, with a plumber and an electrician on call (an invented example). Until this year everything ran through one WhatsApp group called “HSR Residents”. Rent reminders went there. So did “water off Saturday”, a photo of a leaking geyser in room 214, someone selling a cycle, and three tenants asking why their numbers were visible to 79 strangers.
WhatsApp for property management works better when the property has a business number, not a group. This playbook is for landlords, property managers and PG, hostel or co-living operators: rent-due reminders, maintenance requests routed to the right person, move-in and move-out checklists, notices to a whole building, lease renewals, and the vacancy enquiry that fills the next bed.
What moves between a property and its tenants
| Message | Who starts it | Category if the property starts it |
|---|---|---|
| Rent due, receipt | Property | Utility |
| ”Geyser not working” with a photo | Tenant | Reply (service) for 24 hours |
| Visit time, “is it fixed?” | Property | Utility, or a reply inside the window |
| Water shutdown, pest control | Property | Utility, in our reading |
| Move-out inspection, deposit refund | Property | Utility |
| ”Would you like to renew?” | Property | Marketing |
| Vacancy enquiry | Prospective tenant | Reply (service) |
In India a utility template costs ₹0.1150 and a marketing one ₹0.8631 per delivered message, before GST, on Meta’s rate card effective 1 October 2026. Replies inside a tenant’s 24-hour window are service messages: 1,000 free per number a month, then ₹0.1150 each. (Terms are in our glossary.)
Step 1: one property number and two desks
Put the property’s number on the WhatsApp Business Platform through a provider, and answer from a shared inbox with two desks: the front office for rent, move-ins and enquiries, and maintenance for Javed. Tenants save one number. Nobody’s personal phone holds the history, and when a warden leaves, the chats stay.
A landlord with six flats and one phone doesn’t need this. The free WhatsApp Business app and a broadcast list will do; our app versus Platform guide lists the signs you’ve outgrown it. Eighty beds and three people answering is past those signs.
Import tenants from your register with room, building, rent amount, due day and move-in date as fields on the contact. Every message below reads from those fields.
Step 2: rent-due reminders that stay utility
A reminder that rent is due on a tenancy that already exists is a payment reminder on the tenant’s own account. Meta’s utility examples include “Reminder: Your monthly payment for” a service “will be billed on” a date, and its utility rules say the message must be “non-promotional” and “specific to or requested by the user”.
Hi {{1}}, your rent of ₹{{2}} for {{3}} at {{4}} is due on {{5}}. Tap below to pay by UPI, or reply here if you have a question about the amount.
Buttons: Pay rent (URL to your UPI or gateway link), Talk to the office. Send it three days before the due date and again on the day. After that, a person calls. Two automated nudges are plenty.
Keep the wording factual. Meta’s template review lists “threatening a customer with legal action or threatening to publicly shame them” as a rejection reason. If your agreement has a late fee, state it once, in plain terms, and leave out anything about eviction. Never name late payers where other tenants can see, which a group makes easy and a business number makes impossible.
When the money arrives, a receipt goes back in the same thread. If the tenant wrote “paid” within 24 hours, it’s a reply; otherwise use a short utility template with the amount, the month and the date received.
Step 3: maintenance requests with photos, to the right person
Most repair requests arrive as a photo and four words. Answer the first message with a list message, which Meta allows up to 10 rows, so the tenant picks the category in one tap.
- Tenant, room 214: geyser not heating, room 214 7:10 am
- HSR Stays: Sorry about that. Tap below and pick the kind of problem: plumbing, electrical, Wi-Fi, housekeeping or something else. 7:10 am
- Choose a category
- Tenant, room 214: Electrical 7:11 am
- HSR Stays: Noted. Please send a photo of the geyser switch and the unit. Javed from maintenance will reply with a visit time. 7:11 am
- Tagged: electrical · room 214 · assigned to Maintenance
Javed sees the request in the maintenance desk with the room and the photo, and replies with a time: “Electrician at 11 am. Will someone be in the room?” When it’s done, one more message: “Is the geyser working now?” with Yes, fixed and Still a problem. Meta accepts feedback as utility only when it names the specific request; “rate our service” sent to everyone is marketing.
Meta’s media page caps incoming files at 100 MB, so a tenant’s video of a leak arrives fine. It also says a media ID received by webhook can be downloaded for only 7 days, so your tool has to keep the photos. They matter later: “the tap was already broken when I moved in” is settled by a dated photo in the thread.
Step 4: move-in and move-out checklists
At move-in, send the house rules and the room inventory as a PDF, and ask the tenant to photograph the room in the first day and send the photos to the thread. That’s the record for the deposit conversation eleven months later.
ID for the tenant agreement or police verification is different. WhatsApp’s Business Messaging Policy says: “Don’t share or ask people to share full length individual payment card numbers, financial account numbers, personal ID card numbers, or other sensitive identifiers.” Collect Aadhaar copies through your own form or at the front office, not in the chat.
At move-out, three messages do the work: the notice acknowledged with the last day, the inspection slot as buttons, and the deposit outcome.
Hi {{1}}, the move-out inspection for room {{2}} is complete. Your deposit refund of ₹{{3}} will be transferred by {{4}}. Reply here if you have any question about the amount.
It’s about the tenant’s own deposit and sells nothing, so we expect utility.
Step 5: notices to a whole building: broadcast, group or template?
A notice to every tenant goes as one approved template sent to each tenant privately. A group is the wrong tool once a building passes a handful of people.
| Route | Size | Who sees what | Fits a PG notice? |
|---|---|---|---|
| WhatsApp group (app) | Up to 1,024 members | Every number and every reply | No: tenants’ numbers on show |
| Broadcast list (app) | 256 per list | Private, but only people who saved your number receive it | For a small landlord |
| Groups API on the Platform | Up to 8 participants | Members of that one group | One flat or a shared room, not a building |
| Approved template to each tenant | Your messaging limit | Private chats | Yes |
Meta’s Groups API overview, updated 15 October 2026, still lists “Max group participants: 8”, and the API needs an Official Business Account. A four-sharing room plus the warden fits; a building doesn’t. Conecxt doesn’t offer the Groups API. Our Groups API guide and the comparison of broadcast, group and campaign cover the details.
Write one template per notice type rather than one template whose whole body is a variable, which Meta treats as unclear and categorises as marketing:
Hi {{1}}, water supply at {{2}} will be off on {{3}} from {{4}} for tank cleaning. Please store water the night before. Reply here if this causes a problem for you.
A service interruption at the tenant’s own home is specific to their tenancy, so we read it as utility. Meta makes the final call.
Step 6: lease renewals are marketing
Meta’s categorisation page lists attempts “to renew subscriptions” as marketing, adding “These are marketing even if requested by users”, and says utility messages should not “attempt to secure renewals”. A renewal offer for a room is the same thing, so send it as a marketing template, at ₹0.8631, to tenants who agreed to hear from you. Our category guide explains how Meta decides.
Hi {{1}}, your stay agreement for room {{2}} ends on {{3}}. Would you like to continue for another term? Tap below and we'll send the renewal terms.
Buttons: Yes, renew; Moving out; Talk to the office. Send it about 45 days before the end date. “Moving out” is useful too: it gives you the vacancy early. Ask for the opt-in at move-in, record it on the contact, and keep renewal offers out of your utility templates, or Meta may move those to marketing as well.
Step 7: vacancy enquiries
The bed that opens on the 30th is filled by whoever answers the enquiry first. Put a QR code on the To-Let board that pre-fills “Hi, I saw your board on 27th Main”, and reply in seconds with buttons for room types and rent, a visit slot and a callback. Visit confirmations are utility; a “only two beds left” nudge is marketing. Our real estate enquiry playbook covers speed and routing, and the real estate template pack has visit confirmation and reminder wording that works for a PG with the project name swapped out.
What it costs for an 80-bed PG
Illustrative numbers for Nikita’s PG in a month, on Meta’s India rate card effective 1 October 2026, before GST.
| Message | Category | Volume | Meta cost |
|---|---|---|---|
| Rent reminders, 2 per tenant | Utility | 160 | ₹18.40 |
| Building notices, 4 a month to 80 tenants | Utility | 320 | ₹36.80 |
| Move-in, move-out and deposit messages | Utility | 60 | ₹6.90 |
| Repairs, rent queries and enquiry replies | Service | 1,340 | 1,000 free, then 340 × ₹0.1150 = ₹39.10 |
| Renewal offers to opted-in tenants | Marketing | 12 | ₹10.36 |
About ₹112 a month. The provider’s plan will cost more than the messages; Conecxt’s start at ₹2,499 a month. What pays for it is staff time on the phone, rent that arrives on the 5th instead of the 12th, and one deposit dispute settled by a photo.
Checklist
- One property number, front office and maintenance desks
- Tenants imported with room, rent, due day and move-in date
- A factual rent reminder template, sent twice, then a person calls
- A list message of repair categories that assigns maintenance
- Move-in photos requested and kept on the thread
- ID documents collected outside the chat
- One utility template per notice type, sent to each tenant privately
- The old residents’ group closed, or kept for social chat with a note that the office doesn’t read it
- Renewal offer as a marketing template, to tenants who opted in
- A QR code on the To-Let board with its own pre-filled sentence
Start by sending this month’s rent reminder from the business number instead of the group. The first tenant who replies “paid, receipt please” in a private chat has shown the rest of the change.
Common questions
Can I send rent reminders on WhatsApp?
Yes. A reminder that rent is due on a tenancy that already exists is a payment reminder on the tenant's account, which fits Meta's utility category, at ₹0.1150 per delivered message to an Indian number before GST. Send it as an approved template a few days before and on the due date, with a link to pay.
How should a PG or hostel handle maintenance requests on WhatsApp?
Give tenants one business number and answer a request with a list message of categories such as plumbing, electrical and Wi-Fi. The tap tags the chat and assigns it to the maintenance desk, which sees the room and the tenant's photos in the same thread and sends a visit time and a 'fixed?' check.
Should a landlord use a WhatsApp group for tenant notices?
Not for a large building. In a WhatsApp group every member sees every other member's phone number and every reply. On the WhatsApp Business Platform, groups created through the API cap at 8 participants, so a notice to 80 tenants goes as an approved template sent to each tenant privately.
Is a lease renewal reminder a utility or marketing message?
Plan it as marketing. Meta's categorisation page lists attempts to renew subscriptions as marketing even if requested by users, and says utility messages must not attempt to secure renewals. In India that is ₹0.8631 per delivered message and needs the tenant's opt-in. Meta makes the final call at template review.
